Facilities & workplace

Facilities intake that knows where it came from.

Scan a QR code on the room and EvenTier opens a location-tagged ticket, links it to the asset, routes it to the site team, and holds vendor spend behind approval. One desk covers maintenance, desk moves, equipment, and access across every building, with business-hours SLAs per site.

How a facilities request moves

Report, route, link the asset, approve the spend, and roll it up across sites. Asset tracking and multi-site reporting are in the base plan, with no per-asset fees and no tier ladder as you add buildings.

Report an issue by scanning the room

Print a QR code for each room, floor, or piece of equipment and post it where problems happen. Scanning opens a portal form with the location already filled in, so the person reporting a broken projector or a flickering light does not have to know a building code or find the right team. The same queue also takes email, portal, and API requests, and each request type asks for what facilities needs before it is submitted.

  • QR codes open a pre-filled form tagged to the room or asset
  • Email, portal, and API all land in the same queue
  • Request types for maintenance, moves, equipment, and access, each with its own fields

Route and assign by location

The location captured at intake decides where the request goes. Each site sees its own queue, requests route to the site team, and assignment can hand work to the least busy agent on that team rather than piling it on whoever is watching the queue.

  • Location-scoped routing sends each request to the right site team
  • Workload-aware assignment picks the least busy agent on the team
  • Per-site queues keep one building's work separate from another's

Link the ticket to the asset it is about

Keep furniture, AV gear, access badges, and equipment inventory in the same tool that handles requests about them. When a projector breaks, the ticket links to the asset: its room, its service history, and who it is assigned to. The next request on that projector opens with the last one already in view.

  • Assets relate to rooms, people, and the tickets filed against them
  • Assignment tracking records who holds each item and since when
  • CSV import for existing inventory, with no per-asset pricing tiers

Approve vendor spend before the vendor is called

Some tickets need an outside contractor for HVAC, electrical, or cleaning. Requests that carry a cost can require sign-off before anyone schedules the work, and the request tracks through scheduling and completion with the full history from report to close.

  • Approvals gate spend-bearing requests before a vendor is engaged
  • Scheduled and maintenance-window fields for planned work
  • The approval, the schedule, and the resolution all stay on the ticket

One roll-up across every building

Locations scope routing, assignment, and reporting, so each site works its own queue while facilities leadership reads a single view across all of them. Business-hours SLA targets follow each site's calendar and timezone, and breach risk sorts to the top so a server-room outage is seen before a squeaky chair.

  • Organisation-wide roll-up alongside per-site queues
  • Business-hours SLA calendars, including multi-site and multi-timezone
  • Team-scoped roles so site staff see only their own work

Answer the repeat questions without a ticket

"How do I book a room?" and "Where is the first-aid kit?" come in every week. A versioned knowledge base sits behind portal search, and Evee can answer common questions at intake so they resolve before they reach the team.

Common questions

Can employees submit facilities requests without an account?

Yes. Inbound email, the branded portal, and the API all create requests in the same queue. A QR code posted in the room opens a portal form with the location already filled in, so someone can report a broken light or a jammed door without logging in or knowing which team handles it.

Can we track equipment and assets?

Yes. Import existing inventory by CSV, track who each item is assigned to and since when, and link assets to rooms, people, and the tickets about them. Asset tracking is part of the base plan, with no per-asset pricing tiers.

Do the employees submitting requests cost anything?

No. Requesters are unlimited and free on every plan. You pay $49 per agent per month for the facilities team working the queue, and the first 3 agents are free forever.

Can one desk cover multiple buildings or sites?

Yes. The location model scopes routing, assignment, and reporting per site, so each building sees its own queue while leadership gets a roll-up across all of them. Enterprise self-hosting is available by annual contract, starting at $20 per agent per month.
