Finance request management

Spend approvals on the record.

EvenTier gives finance one queue for purchase requests, expenses, budget, and vendor onboarding. Amount, cost centre, and GL code are required at intake, requests move through the spend-approval chain your policy defines, and every decision writes an audit row with the actor and timestamp. Managed cloud, with enterprise self-hosting by contract for data that cannot leave your perimeter.

How a spend request moves from intake to approved

Intake captures the amount, cost centre, and GL code, a spend-approval chain runs sized to the amount, and every decision writes an audit row for the team handling the money.

Intake that captures the numbers

Purchase requests, reimbursements, budget increases, and new-vendor setup arrive in one queue from email, the portal, or the API. Each request type carries its own form, so a submitter cannot open a spend request without the fields finance needs to code it.

  • Custom request types for POs, expenses, budget, and vendor onboarding
  • Required fields (amount, cost centre, GL code) enforced at intake
  • Keyword and request-type routing to the right analyst before triage

A spend-approval ladder

Configure the sign-off chain your policy requires: manager, then finance, then the budget owner once an amount crosses a threshold. Each step is asked only after the one before it approves, the SLA clock pauses while the request waits, and nothing reaches procurement until the chain clears. The full approval engine, including delegation and per-state audit, is documented on the approval-workflows page.

  • Sequential approval chains, configured per request type
  • Out-of-office delegation so a single approver never blocks the queue
  • Deny at any step closes the request and cancels the remaining steps

An audit trail for the money

Every approval, reassignment, field change, and status transition writes an audit row with the actor and a timestamp. When an auditor asks who approved a purchase and when, that record is one query away, and the full history streams to your SIEM.

  • Three audit logs (changes, sign-ins, security) streamed to your SIEM
  • Every approval decision and its approver recorded with a timestamp
  • GDPR erasure in one step, with a cryptographic proof record

SLAs so requests don't stall at close

Give each request type a response and resolution target that respects business hours. Requests at risk of breaching sort to the top of the queue, so a reimbursement doesn't sit for two weeks while month-end close consumes the team.

  • Per-policy first-response and resolution targets
  • Business-hours calendars, including multi-timezone finance teams
  • The SLA clock pauses while a request waits on an approval

Access scoped to the money

Salary adjustments, sensitive vendor terms, and legal-adjacent spend call for internal notes the requester never sees. Custom roles keep an analyst out of a queue they have no business reading, and the team handling the money can sit behind MFA and an IP allowlist.

  • Internal notes stay internal; requesters see only the public thread
  • Custom roles with per-permission, team-scoped access
  • MFA and per-org IP allowlist for the team handling the money

Ready for the vendor-risk review

SSO, SCIM, custom roles, and three audit streams are in every paid SaaS plan, which covers the common security and vendor-risk questions without an upgrade. Teams that cannot route spend data through shared SaaS can contract for an enterprise self-hosted deployment.

  • SAML / OIDC SSO and SCIM 2.0 provisioning included
  • Self-hosted option for teams that can't clear shared SaaS
  • SSO, MFA, and audit in every paid SaaS plan; enterprise self-hosting by contract

Common questions

Can we enforce different approvers for different spend amounts?

Yes. Configure an ordered approval chain per request type, for example manager, then finance, then budget owner. Each step is asked only after the prior one approves, the request stays in a waiting state (with the SLA clock paused) until the final step, and a denial anywhere cancels the rest.

Do requesters, the employees submitting requests, cost anything?

No. Requesters are unlimited and free on every plan. You pay $49 per agent per month for the finance team working the queue, and the first 3 agents are free forever.

Is there a full audit trail for compliance?

Every approval, field change, reassignment, and status transition writes an audit row with the actor and timestamp, and the full history streams to your SIEM. When erasure is required, GDPR Article 17 deletion runs in one step and writes a cryptographic proof record.

Can we keep finance data on our own infrastructure?

Yes, through an annual enterprise contract starting at $20 per agent per month. The same product runs on your infrastructure with a signed license, fully offline if needed, with your own AI provider or AI disabled entirely.
